K & A Events ("we", "us") plans and manages weddings across Cumbria, the North East and South Scotland. This policy explains what personal information we collect, why we collect it, and what we do with it. We keep it short and plain on purpose. If anything isn't clear, please ask.
Who we are
K & A Events is the data controller for the information described here.
Contact: Kate, K & A Events. Email: kate@kandaevents.co.uk.
ICO registration number: ZC270385.
What we collect
- Couples and enquirers: names, email, phone number, address, wedding date and location, guest numbers, budget, your plans and preferences, and our emails, calls and meeting notes.
- Booked clients: your signed terms and conditions, quotes, invoices and payment records. We do not store your card or bank details; payments are made by bank transfer.
- Wedding guests: names, contact details, RSVPs, seating, and dietary or allergy requirements, provided by the couple or by guests through the planning portal.
- Suppliers: business contact details and information about the services you provide.
- Website visitors: the details you send us through our enquiry form.
Our website
This website does not use advertising or tracking cookies. We count visits using a privacy-friendly statistics service that doesn't use cookies and doesn't identify you. It shows us totals only, such as how many people visited and which pages were read. Enquiry form submissions are received and stored for us by our website host, and the site's typefaces are loaded from Google Fonts, so your browser connects to Google to fetch them.
Why we use it, and our legal reasons
- To respond to your enquiry and prepare a quote (steps taken at your request before entering a contract).
- To plan and manage your wedding, including coordinating suppliers (to carry out our contract with you).
- To keep business, tax and insurance records (legal obligation).
- To run and improve our business, for example keeping notes of enquiries and supplier contacts (our legitimate interests).
- To send you news or offers, only if you have asked us to (your consent, which you can withdraw at any time).
Dietary and allergy information can reveal details about a person's health. We use it only so caterers can cater safely, with the explicit consent of the person who provides it. Where a couple gives us this information about their guests, we ask the couple to make sure guests know it will be shared with us and the caterer.
Who we share it with
We only share what each person needs to do their job:
- Your wedding suppliers (for example the caterer, venue or marquee company), who receive the details relevant to their part of the day.
- The providers of the software we use to run the business: website hosting and visitor statistics, email and calendar, our online planning portal, document signing, accounting, and AI assistant tools that help us prepare documents and manage enquiries. These providers act on our instructions and must keep your information secure.
- Our accountant, insurers or professional advisers where needed, and authorities where the law requires it.
We never sell your information. Some of our software providers may store information outside the UK; where they do, they are required to protect it to UK standards.
How long we keep it
- Enquiries that don't lead to a booking: deleted after 12 months.
- Booked clients: contracts, quotes, invoices and related emails are kept for 6 years after the wedding for tax and legal reasons.
- Guest lists, seating plans and dietary information: deleted within 6 months after the wedding.
- Supplier contacts: kept while we may work together, and removed on request.
How we keep it safe
Your information is held in password-protected accounts and devices, with access limited to K & A Events and, on the day, our assistants on a need-to-know basis. If something ever went wrong that put your information at risk, we would tell you and the Information Commissioner's Office where the law requires.
Your rights
You can ask us to: give you a copy of your information; correct it; delete it; limit or stop how we use it; or move it to another provider. Where we rely on your consent, you can withdraw it at any time. To do any of these, email kate@kandaevents.co.uk. We will reply within one month and there is normally no charge.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version is always on our website, with the date at the top.
